DSGVO IMPLEMENTATION IN SAP SYSTEMS

With our Data Reduction Framework, a leading automotive bank has transformed historically grown SAP systems to be GDPR-compliant. Our solution enabled efficient data localization and legally compliant archiving in order to meet the constantly growing data protection requirements.

Archiving and deletions in productive SAP systems are particularly critical, as consistency must not be destroyed under any circumstances.

All actions must be logged in a traceable and audit-proof manner. In addition, there must of course be clarity about any retention periods on the specialist department side that conflict with a planned deletion.

Reduction in database size has a positive impact on several factors – faster backup, less storage space required and therefore cost savings

The challenge during the initial data cleansing of the SAP system was, on the one hand, the large amount of data and, on the other, the high technical complexity of the underlying data model. At this automotive bank, we were dealing with a HANA-based SAP Bank Analyzer system that contains a uniform, central database for the main bank management disciplines. Based on the consistent deletion of the relevant business partner data, the associated contract and transaction data had to be deleted. The top priority here was to maintain data consistency and the unrestricted operability of existing processing chains of the various bank-specific calculation kernels on the SAP Bank Analyzer platform and the interaction with the downstream reporting functions based on SAP BW.

Our iterative process model is perfectly supported by the interaction of the two solutions Smart Search and Data Reduction Framework. We use Smart Search to determine which tables or table fields contain data for the specialist objects to be deleted. Both standard tables and customer extensions are taken into account in this search. With Smart Search, we therefore speed up the creation of deletion concepts considerably. Before the actual deletion process, our Data Reduction Framework checks whether the deletion can be carried out – firstly from a functional point of view, e.g. whether there are still ongoing business activities or functional dependencies, and secondly from a technical point of view. Specialist objects not identified as deletable are placed in a processing cockpit for review and assigned to the correct specialist department employee. All deletable data objects are first archived with high performance and then physically deleted from the system. Sophisticated indexing logic makes it easy to search for and reload deleted data objects from the archive – only if necessary, of course.

By using Smart Search to quickly locate deletion-relevant data in the system and the Data Reduction Framework for checking, archiving and deletion, the bank was able to clean up the SAP Bank Analyzer system with little implementation effort and time – and thus achieve significant added value for the future operation of the HANA platform:

  • Establishment of EU GDPR-compliant operation through initial data deletion and implementation of ongoing deletion functions
  • Significant increase in data quality
  • Performance improvements through reduction of table sizes
  • Reduction of the required storage space

The advantages are obvious: by using the Data Reduction Framework, we were able to implement a significant clean-up of the SAP Bank Analyzer system in just a few weeks. Thanks to the flexible possibilities of object selection and the high processing performance, we usefully supplement the SAP on-board tools for archiving and cleansing and thus enable the deletion of several million data records in the low hour range. We were thus able to create great benefits for one of Germany’s largest automotive banks.
